To pay your subjects, you will either need to complete the below steps as you run each participant, OR complete the below steps in batches. If you do this, you should take note of the payee's preferred address as you run them.

In order to issue checks:

  1. On the Finance eForms page, you will select "Payment Request"

  2. You will be asked “Who you are paying?” For students, select "Dartmouth Student"

  3. You will be asked “What type of payment?” Select "Other Payment"

  4. The Payment Request Form will open in a new tab. The "Submitter" information will autofill.

  5. Specify the Legal Payee Name. Either search for your subject using the dropdown list, or check the box on the webform listing "New Payee/Address" and enter the payee manually. Add a new payee if their preferred payment address does not appear.

  6. For the Business Purpose, write "Research participation fees" (or similar)

  7. Enter the Payment Amount

  8. For the Chart String, confirm with Meghan whether you will be using our lab’s startup fund chartstring or the R01 chartstring. If you are using the startup fund string (most likely), select "GL String" (will autofill) and enter the string for our lab startup (you can find this on LastPass) with Nat Class 7672 and the Amount to be paid.*

  9. For Recipient Residency, indicate whether the payee is a US resident**

  10. For Approvals, add Lisa Lee as an approver.

  11. Log each payment in our Lab Spending Tracker for our record-keeping purposes. Ask the lab manager for access to the spreadsheet, or grant yourself access from the lab Google account, if you need it. When paying participants by check, no receipt is necessary.

* If you would like to use R01 funds to pay participants, please confirm that you have permission to do so with Meghan, and make sure to confirm with Deb Edwards that the grant allows you to pay participants by check.

** Please note that we cannot pay grad students who are studying in the US on a Visa. However, we can pay international undergraduates.
